Which KoalaCast Plan Is Right for Your School?

Choosing a plan should be straightforward.

The best place to start is not with the longest feature list. It is with how your school communicates today.

How many people do you need to reach? How many staff members manage communication? Do you simply need a better way to share important updates, or do you also need forms, surveys, payments, direct messaging and operational tools such as absence management or secure student pickup?

KoalaCast has three plans—Free, Pro and Enterprise—designed for different stages of school communication. This guide will help you understand which one is likely to fit your school best.


Start with how your school communicates



School size matters, but it is not the whole story.

A small school with a simple communication process may be perfectly comfortable with the Free plan. A similar-sized school that regularly collects trip permissions, fee payments and parent responses may need Pro.

Likewise, a larger school may need Enterprise not simply because it has more students, but because it has more staff, more groups, more complex workflows or systems that need to work together.

The easiest way to choose is to think about where your communication process is today—and where you expect it to be in the next year.


Free: For small schools getting started


The Free plan is designed for schools that want to try KoalaCast with a smaller audience or begin moving important communication away from scattered WhatsApp groups and informal channels.

It supports up to 50 contacts, three channels and 30 announcements per month. One administrator and up to two moderators can manage communication, making it a good fit for a small school, a single department or a focused pilot before rolling KoalaCast out more widely.

The Free plan also includes a limited amount of storage and space for up to 10 templates, which can be useful for schools that want to establish a more organised communication routine before committing to a larger plan.

However, the Free plan is intentionally simple. Features such as reminders, polls, events, requests and surveys are not included. Schools also cannot import contacts from CSV files or use communication features such as document attachments, two-way messaging, payment collection and secure student pickup.

Free is likely right for you if:

Your school is small, you want to start with a limited group, or you mainly need a better way to publish and organise important school communications.

It is also a good choice if you want to see how your staff and parents respond to KoalaCast before expanding its use.

A good rule of thumb: if your communication needs are straightforward and you are not yet managing frequent responses, forms or follow-ups, start here.


Pro: For schools that want communication to do more

For most growing schools, Pro is where KoalaCast becomes a broader communication and engagement platform.

Pro supports up to 500 contacts, 20 channels and 200 announcements per month, along with up to five administrators and 20 moderators. It also includes 5 GB of storage and supports contact imports, making it much easier to manage communication as more staff and parent groups come onto the platform.

More importantly, Pro is designed for schools that need more than announcements.

You can create polls, schedule events and use requests to collect information from parents. The plan supports up to 50 requests and 20 surveys per month, which gives schools room to manage activities such as permissions, RSVPs, information requests and feedback without moving the process into a separate tool.

Pro also introduces reminders, audit logs and member visibility controls. These features become increasingly useful when communication is being managed by several staff members and the school needs more structure and visibility.

Schools on Pro can also use document attachments, direct communication between parents and staff, payment collection through requests, and secure student pickup passes. These features make Pro a better fit for schools that want to consolidate more of their everyday parent communication and administrative workflows in one place.

Pro is likely right for you if:

Your school has outgrown basic announcements and wants to manage communication more actively.

You regularly need parents to respond, fill out requests, pay fees, participate in surveys or receive targeted reminders. You may also have multiple teachers or administrators involved in communication and want a clearer, more organised process.

For many independent schools and growing schools, Pro is likely to be the natural fit.


Enterprise: For larger or more complex school operations

Enterprise is designed for schools and school groups that need more scale, flexibility and control.

The biggest difference is not simply that the limits are higher. Enterprise is intended for schools that do not want to plan their communication around contact, channel or announcement limits. It supports unlimited contacts, channels, announcements, administrators and moderators, with significantly more storage and unlimited requests and surveys.

Enterprise also includes API access, which is important for schools that need KoalaCast to work alongside other systems rather than operate as an isolated platform.

There are also capabilities that are specifically reserved for Enterprise, including WhatsApp notifications and GPS tracking. These may not matter to every school, but for organisations with more complex operational requirements, they can become an important part of the decision.

Enterprise is likely right for you if:

Your school has a large parent and staff base, multiple campuses, complex communication structures or requirements that go beyond the limits of a standard plan.

It may also be the right choice if you need API access, advanced integrations or specialised communication and operational capabilities.

Enterprise is not simply “Pro with bigger limits.” It is for schools that need KoalaCast to become a more deeply integrated part of how their organisation operates.


A simple way to choose


If you are still unsure, these three questions can usually point you in the right direction.

Choose Free if your priority is getting started.

You have a small audience, straightforward communication needs and want to experience KoalaCast before expanding its use.

Choose Pro if your school needs active communication and follow-up.

You regularly manage parent responses, requests, events, surveys, reminders, payments or direct communication. You also have more staff involved and need the platform to support day-to-day communication at a larger scale.

Choose Enterprise if your communication is large-scale or operationally complex.

You need unlimited scale, deeper integrations or specialised capabilities that go beyond the needs of a typical school communication workflow.


Don't choose a plan based only on where you are today

One mistake schools often make is choosing a plan only for their current requirements.

Instead, consider what your school is likely to need over the next 12 months.

Perhaps you currently only send announcements, but you plan to introduce digital requests next term. Perhaps only the school office manages communication today, but you expect teachers and department heads to take a more active role. You should not pay for capacity you will never use. But choosing a plan with a little room to grow can save you from having to rethink your communication process too quickly.

The goal is not to unlock the most features.

It is to choose the plan that removes the most friction from how your school currently communicates.

For some schools, that starts with simply organising important announcements in one place. For others, the real challenge is getting responses, following up with parents and managing requests. Larger organisations may need unlimited scale and integration with their existing systems.
