Do We Need Enterprise? A Practical Checklist for Schools

Enterprise is often the easiest plan to misunderstand.

It is tempting to think of it simply as the plan for a very large school. But school size is only part of the decision. A school may have 300 students and still have communication requirements that justify Enterprise, while a larger school may be perfectly comfortable with Pro.

The better question is:

Has school communication become complex enough that we need more scale, control or integration?

If you are considering KoalaCast Enterprise, this checklist will help you answer that without having to sit through a sales pitch first.


Start here: Are you simply growing, or are your requirements changing?

There is a natural point where a school stops thinking of communication as simply sending announcements and starts thinking about how the entire communication process is managed.

You may have more staff sending communications, more parent groups to manage, more requests and responses to track, or multiple systems that need to work together. At that point, increasing the number of messages you can send is not the only consideration. You need a platform that can keep up with the way your school operates.

We have a large or rapidly growing parent community

If your school has more than 500 contacts, or you expect to cross that threshold as you grow, the limits of a standard plan can eventually become restrictive.

Enterprise removes the contact limit, allowing the communication platform to grow with your school rather than requiring you to continually think about how many people, groups or communication spaces you can accommodate.

For a growing school, this can be particularly useful when new grades, campuses or departments are added.


We have many classes, groups or departments

A school rarely communicates with one audience.

There may be year groups, classes, departments, activity groups, transport groups, staff groups and leadership teams, each with different communication requirements.

Enterprise becomes more compelling when several requirements come together—particularly unlimited scale, broader operational use, WhatsApp notifications, API access, GPS tracking or more advanced organizational control.

That is why we don't recommend choosing Enterprise simply because your school is large.

Choose it when your communication requirements are becoming enterprise-level.


Free, Pro or Enterprise?

A simple way to think about the three plans is this:

Free is for schools that want to get started with the basics and have a smaller communication audience.

Pro is for schools that want to actively manage school communication with features such as reminders, polls, events, requests, surveys, viewership and broader parent engagement capabilities.

Enterprise is for schools that need to operate at a larger scale or want deeper control, integrations and additional communication and operational capabilities.

There is no prize for choosing the biggest plan.

The right plan is the one that gives your school enough room to communicate effectively without paying for complexity it does not need.


One last question to ask your school

Before deciding, ask your administrative team this:

"What is becoming difficult to manage as our school grows?"

If the answer is "We just need a better way to send and track school communication," Pro may be enough.

If the answer is "We are managing hundreds or thousands of contacts, multiple groups, multiple administrators, several communication workflows and need our systems to work together," it is probably time to have a conversation about Enterprise.

And if you're somewhere in between, that's perfectly fine too.
